On Wednesday, August 20th at 10:00 PST, ImageSource and Fujitsu will be broadcasting a webinar about optimizing your hardware called Proactive Scanner Management. During this webinar you can learn about Fujitsu scanner trade-in programs as well as the latest and greatest models available. Learn about the out-of-the-box software as well as when to consider ILINX Capture for a more robust solution. This particular webinar will be recorded and available for viewing at your convenience if you are unable to attend the live event.

Webinars are a great source of learning usually for no cost. They can provide information on hardware you are considering as well as software solutions. 5 Reasons You Need to Meet in Person

I have been with ImageSource for almost 11 years and in the computer industry almost 47. My journey has taken me from field engineer, to systems support engineer to management and finally to sales. To say I have seen it all is an understatement. Anyone who knows me has always heard me say that email, voicemail, Twitter and Facebook are all great sales tools, but that is exactly what they are – tools. There is no substitute for face-to-face meetings.

Just this past week the ImageSource executive team and I completed our third week of Nexus ’14; a week of personalized, private sessions where we meet with customers to discuss their unique ECM needs. We met with all of our customers face-to-face; listening to them, (I repeat: listening to them), taking notes and presenting the future direction of ImageSource. The results exceeded any of our expectations.

ILINX – the new ECM software kid on the block!

Since my entry into the Enterprise Content Management (ECM) industry in 2001, the biggest challenge that I see for any company is to turn their ECM investment into one that is utilized across the enterprise, and not just for the benefit of one department. After all, that is the whole point of an enterprise system solution. When the whole enterprise benefits, it reduces total cost of ownership and the promise of a return-on-investment (ROI) is realized.

I Am Not a Fan of the Cliché

I am not a fan of the cliché “Best Business Practices”. It is a very over used term and seems to imply there is some magic solution out there that will make everything better. The truth be known, best business practice is leveraging knowledge gained through experience at someone else’s expense. Why would you reinvent the wheel if someone has already figured it out? You wouldn’t. Many times I see companies selling software to customers for the sake of selling something, only to have it sit on a shelf and collect dust.

Last month we just completed our annual Customer event NEXUS, as usual the event was excellent. During some downtime in the Exhibit Hall I got a chance to chat with one of our ECM Partner Representatives from IBM. During this conversation I was struck by some of the comments made to me, particularly about our customers. During the conversation they said that they have never seen such loyalty from customers towards a company (ImageSource). I can assure you after 43 years in the computer industry & many years competing with IBM, comments like that are far & few between. Over the next couple of days I continued to think more and more about the comments and its true, then I asked myself why, what do we do different that inspires that level of loyalty? The answer was actually pretty simple, “We Care”. In all my presentations I usually close by saying something along the lines, “We are big enough to do the job, but still small enough to care”. From Sales to our Professional Services team and throughout every person in the company we all care.

Stuck in a Trade Show Whirlwind

This year’s Fall trade show season seemed to blow in and out like a tornado. It is no joke that time flies when you are having fun. We’ve seemed to go from September to December in a blink of a eye. Our whirlwind of a tour started  back when the leaves were just starting to change with multiple local PMI and AIIM events and only picked up speed from there….

For a week we blew into OracleOpen World in San Francisco, CA . If you’ve never attended Oracle OpenWorld, be ready for quite a technology experience. As an Oracle Platinum Partner there is no way we would have missed it!  As a systems integrator for Oracle Middleware, we were eager to help attendees learn how to run more efficient business processes by implementing Oracle IPM and UCM solutions.  There was a lot of interest in our recent implementations of Oracle Webcenter Content 11g. We look forward to going back in 2012 and hope to see you there.

While many of us were at OOW, our ECM expert, John Smetana was attending the AIIM ECM Bootcamp in Minneapolis, MN on October 4.  AIIM members and attendees collaborated on ways to minimize paper and manual processes in core backend activities and discussed better ways to engage social technologies to reach customers.

Next stop landed us in Vegas, Baby! We were a proud exhibitor of the IBM Information on Demand Conference that happens annually at the Mandalay Bay. And we are hoping what you saw there, doesn’t stay there. Take back what you learned from our IBM ECM team to get started on automating processes or to expand your current solution, enterprise-wide. We can wait to get back to IOD in 2012

Next up, we couldn’t have been more excited or proud to host Nexus ’11, our annual ECM Solutions Conference on November 3-4.  With over 28 breakout sessions, world-class Keynote speakers and peer-to-peer networking, this event has become the best education ECM technolgoy event on the West Coast!  Pre-conference training for AIIM certifications and other continuing education credit were provided in the days leading to the conference. Our vendor partners, including Fujitsu, Panasonic, IBM, Kodak and other industry leaders were on hand to show their latest product offerings and answer questions in our Expo Hall. This year’s hot topics included planning your ECMECOSYSTEM™,  Capture solutions from ILINX and Kofax, and implementing mobile and social technologies. And finally, we wrapped up our tour in Sacramento, CA at the Kofax Connect event where we presented with our customer partner, Sacramento County, to share how their are utilizing Kofax KTM to clasify, separate, extract and transform documents.  We were excited to be a part of this valuable event and have the chance to discuss capture solutions with the many Kofax users who attended. If they hold this complimentary seminar again in the Spring you won’t want to miss it.

Is Curiosity Enough to Attend a Conference?

On Nov 3rd & 4th there is an industry educational conference coming up called “NEXUS’11  – Where ideas emerge” being held locally in Bellevue WA.  I am often asked by customers what is the value and benefits of attending a conference.  So instead of me listing what I think the benefits and values are I decided to check out what other people said on the web and see others justifying ROI for attending – this is a summary of what was listed on the first few pages:

  • An abundance of new information to be revealed
  • Networking value amongst peers –learn from others in your profession. Share with others your experience and thoughts. Meeting folks who do what you do. Gain insight. Ask questions, get free consultations.
  • Where else can you find so many industry contacts facing the same issues as your organization?
  • Direct conversations with vendors and manufacturers – are there solutions and products that you are not aware of?
  • Conferences demonstrate new ideas, how products work and how other organizations have implemented them into their environments to solve challenges that your organization is experiencing.
  • When else do you have the opportunity to remove yourself from the daily grind and take a more strategic planning viewpoint? Step back and reflect on your job and the bigger picture.

Unsure Economy Holding Your Business Back from ECM?

There’s no question that the US economy is still troubled.  Whispers of a double-dip recession have been heard from Wall Street to Main Street, and it has some business leaders hiding their wallets under their mattresses.  The market nosedive of 2008 is still fresh in our minds, and every business is hoping for the best while preparing for the worst.

A common management response to a potential downturn is short-term cost cutting.  Though it’s important to watch cash flows carefully, being financially prepared does not necessarily mean a spending freeze.  This mindset ignores long-term financial prospects, and does little to safeguard a business from future economic slumps.

Do You Know Where Your Records Are? Are They Safe?

Just recently I attended a thought provoking round table discussion involving records management. I, being directly immersed in enterprise content management, have bypassed the times when people stored physical records in an outside storage facility or in cabinets upon filing cabinets solely for records. Oh wait, that still exists!

One topic of discussion was what to do during a disaster. What do you do to save all the paper records when there is a flood or a fire? The various answers ranged from putting them in a trash bag if it involved flooding or putting your records in a freezer if there is a fire. These do seem like practical solutions but I’m not sure how efficient this would be when you are racing against a fire or flood and there are thousands upon thousands of papers that need to be saved for a million dollar corporation.

I do understand the physical storage of paper and it is a practice that has been around forever, but now there are alternative solutions that will not only bring a great return on investment but also you do not have to stress about these “what if” situations. The solution is going paperless with Enterprise Content Management.

Did you know:

  • It costs $20 to file a document
  • It costs $120 to search for a misfiled document

Eagerly Awaiting Nexus 2011

Not your average conference.

Nexus ’11 will be my 3rd Nexus conference.   I had the overwhelming, yet fortunate blessing of starting my first day of work for ImageSource at Nexus 2009.   I have been in sales for 10+ years but at the time I was 100% new to ECM.    Questions running through my head:  1) What is ECM?   2) Who uses ECM?  3) Why doesn’t everyone have ECM?   4) Now what is ECM??

ECM is interesting after you understand the depth of what it can do for your business.   As many of you have heard INFORMATON IS POWER.  ECM is the practice of leveraging information.    It empowers employees within a business to access information that solves problems in the day-to-day ins and outs of running a business.

I am excited to participate once again in this conference.  We have an amazing Key Note Speaker who was incredible last year, so of course we have asked him to return – Dr. James Brown. This year we are staying at the Westin Bellevue which we will all secretly long for after our action and information packed days. Although we are at a new hotel this year, some of you may be concerned that our evening event will no longer be at Lucky Strike… but fear no more! We will take over Lucky Strike Lanes and it will once again prove to be an outstanding place to meet other attendee’s where you can strut your best bowling moves.

If only I were as Popular as the Nexus Conference

I am a newcomer to the world of ImageSource and ECM; having never attended Nexus, I know no more about the conference than what can be transmitted through words.   So, naturally, I’ve been tasked with calling past attendees of Nexus to tell them why they should return this year.

Wait, What?

Over these last 8 weeks at ImageSource I’ve completed a wide variety of tasks.  But, I have to admit, I was quite rattled by this assignment at first.  How was I to tell people about a conference which even I had yet to attend?  I was convinced that my ignorance would have me written off immediately.

I could not have been more wrong.

My background in retail primed me for the hard sell; I was certain that I would have to push the conference relentlessly to drive registrations.  However, to say that my calls have been met with warm reception would be a drastic understatement.  Past attendees have stopped me mid-sentence, reminding me that their previous experience was more than enough to make them want to come back.  One individual stayed silent through my entire pitch, and at the end he confessed that during my rambling, he had registered online and was excited to meet me there.

After a week of calling, I’m fairly certain that all I have to say to get people to register are two words:  ImageSource and Nexus.

My coworkers have been trying to convince me that this event was great for months, and I have had no reservations.  Still, simply hearing the excitement from past attendees has inspired that confidence in me.  When it comes to the value of attending Nexus, I no longer have trouble counting my chickens before they hatch.

Where’s My College Application?

A foreign student has applied to four different schools across the US. She spent two years in a community college where she received her Associate of Arts degree. She applied online at all four schools where she hopes to be accepted into a School of Engineering.

It has been three weeks and she and her family have not yet heard from any of the schools as to the status of the enrollment process.

In the meantime, hundreds, if not thousands, of new applications are being handled by enrollment services. Documents, including letters of recommendation, visas, foreign document permits, health records and transcripts are pouring into these universities. Additionally, there are automated transmissions imported into these schools in an attempt to reduce the workload of already overworked university staff.

Phones are constantly ringing with calls  from concerned applicants and parents. Emails are accumulating and can no longer be answered due to volume and reduced staffing requirements.

At most institutions, this happens to be standard practice during the enrollment time period, and universities are looking at better ways to service their applicants and to help break the bottleneck in the work process.

At AACRAO in Seattle next week, ImageSource will present the answer – a view of how the student services operation will look. A major university on the west coast has accepted the challenge and is determined to change the process through true Enterprise Content Management. It should be made clear that this is not document imaging. This university will continue to use their student information system, but documents entering the university will be processed immediately and will be sent to various workflow queues where they will be pushed through the system. As information is processed, it will be uploaded to the student information system, work packages will be distributed automatically to knowledge workers, and plans are being considered to update information to student portals for self-service.

A Higher Ed Solution You Don’t Want to Miss…

In the 90s, a lot of Higher Ed institutions acquired document imaging systems to get rid of the volumes of paper from student files, accounting records, human resource documents, etc.

Times are changing now, and there are demands for student portals, integrations with Student Information Systems, the ability to capture electronic transmissions, the need for extensive workflows, and quite frankly, the ability to work more efficiently. More work has to be completed by less people. The problem is, most systems currently installed in these institutions were built by Hershey, ImageNow, Nolij and other client server technology software manufacturers, and were built for specific purposes, primarily to eliminate space.

However, In order to meet the demands for campus-wide ECM solutions, there is a need to move from client server platforms into true n-tier architecture products, where standard document imaging has been integrated with Web Content Management, where records management and digital asset management is all part of a suite of products. Content needs to be ingested at the beginning of the process and pushed to knowledge workers.

In today’s world, content is not about scanned pieces of paper, it is not about bar code indexing, or OCR technology.  Universities are demanding products that are versatile and can be supported by a light IT staff.  The cost to repeatedly introduce an RFP for every IT need has been realized.  The requirements now set forth in an RFP for content management solutions far surpasses the ability of the traditional scan, store retrieve systems of old.

The new technologies available in Enterprise Content Management platforms will be demonstrated at the ACCRAO conference in Seattle, the 14th through 16th of March.  At booth 106, you will see how a student portal will work.  At the ImageSource presentation Tuesday evening at 5pm,  you will see the inner working of the system designed for San Jose State University, due to go live early spring.

Inside KOM Day 2 – Document Imaging 2011

 “You may have read about Kodak in the news lately. CEO Antonio Perez commented on the Document Imaging division in his recent address to Wall Street Investors highlighting this division’s market growth and solid cash flow generation.” Again Kodak executives focus on the Channel Partner message.  “We need your help to extend new solutions to our customers.”    – Tony Barbeau, General Manager

Mr. Barbeau made sure to be specific about the needs of customers in the document imaging solution space.  This was well received by the partners as enthusiasm spread throughout the room.  Bud Webster and Russell Hunt did a tongue in cheek ‘cheesy’ unveiling of some of the new scanner models being released. Mr. Webster introduced the i5000 will deliver superior productivity with advanced features. This scanner doesn’t slow down when you turn on the advanced features; dynamic flow technology allows the scanner to deliver enhanced image quality and performance. Mr. Hunt introduced the i2600 workgroup and department scanner, this unit delivers the sharpest and clearest document image clarity on the market. The ease of use has been increased with one button scan to SharePoint and an LCD operator panel for the user. When the scanner is not in use the unit swivels upright to provide a near zero footprint this makes the scanner ideal for tight workspaces. Some have said all it needs is a handle for easy portability. Kodak provides a three year worry free warranty term for the Kodak i2000 scanners. This gives customers the peace of mind to purchase a world class scanner that provides 3yr advanced replacement.

Kodak continues to deliver high end microfilm solutions with the i9600 ImageWriter. I know this is still an important function for long-term archival of historical or vital records but it sure seems old school. Nevertheless the Kodak ImageWriter leads the market in performance, durability and feature set.

Russell Hunt went on to comment that, “We remain committed to improve and enhance our process for deal registration to protect opportunities. We are committed to communication about our programs and products. We want you to understand our vision and corporate strategic direction. According to Mr. Hunt no competitor offers what Kodak does in terms of Industry Commitment, End User Knowledge, Technology and the People to help drive customer satisfaction and growth. We are focused on helping you be profitable and successful; in turn this will enable us to drive our growth and goals for revenue targets.

I thought it was cool that that Mr. Gannotti shared Microsoft’s internal nickname for SharePoint, ‘Pac man’. Just like the video game of the 1980’s SharePoint gobbles up other Microsoft technologies and is positioned to be the cornerstone of everything Microsoft does for Web2.0. After Mr. Gannotti’s presentation I asked Mike what he thought the single biggest revenue opportunity was for the Partners in the room. He stated that he thought Workflow consulting was a big area. This is important because Systems Integrators like to consolidate Software Sales, Maintenance Contracts, Professional Services and Hardware to give customers a single point of access.  Personally we have found that the revenue opportunities around SharePoint services are valued at a much lower rate than other project work our company does. There seems to be way more buzz around SharePoint than actual Partner revenue being generated. Eventually Partners have to see the dollars come in before a wholesale shift to focusing on SharePoint solutions occurs. As a Microsoft Gold Partner we are skeptical that the revenue opportunity is significant, we have invested time to generate revenue around SharePoint services and projects without much return.

In Conclusion I must first thank John O’Grady, Tony Barbeau, Russell Hunt, Sophia Marchi, Jeff Shuey and the entire Kodak team for the hospitality they showed me as one of a thousand attendees. I was surprised at the amount of focus on the Latin American Region (LAR) in terms of excitement for growth and revenue generation. I believe the America’s partner community and region has much to offer Kodak in terms of innovation, sales and growth. In order to get everyone in the room engaged Mr. O’Grady led everyone in the audience in a rousing sports inspired ‘Wave’ back and forth across the ballroom.

As the panel gets warmed up Mr. Palmer asks “What is the biggest opportunity for unleashing Kodak’s potential?”    The panel took turns and offering perspectives from each executives view.  I took away a paraphrased message that focused on Kodak’s broad portfolio. “We have the broadest portfolio of anyone in the industry” By working together we can grow each one of the components in that portfolio.  Key to the message was a focus on turning every customer interaction into an opportunity to position the other areas of the Kodak portfolio.

Mr. Palmer asked Mr. Jotwani, “How is Kodak capitalizing on the Social Media opportunities with photo sharing?”  Kodak is focused on personal imaging, people are “Preserving memories, while living in the moment” and this has created an explosion in the sharing of images/photos.  We are pleased that we have a greater focus on video and market share is growing, “we are now the clear number two behind flip in terms of consumer video products.”

Also discussed was the personal greeting card business using Kodak Kiosks in retail stores like CVS Pharmacy that give consumers the choice to make a greeting card from my FaceBook photos, printed on greeting card stock and creased like a standard greeting card.

One of the largest profit opportunities in the IT sector is consumable components, Ink business is doubling.  We have launched a fundamental new program with a brand new inkjet engine.  Kodak has told Wall Street they will grow 50% in the US with consumable inkjet products.

Kodak Services for Business, Mr. Oveido spent a few minutes describing this opportunity.  We are moving from products to solutions in the imaging business.  Data Management, Facilities Management, Print Services.  Kodak is different because we are willing to partner, we are late to the game but we are the only one that really, really wants to partner.

We have a significant number of attendees from the document imaging partner community.  The document imaging business is a great business with lots of growth potential.  Retail is a huge opportunity for the new i5000 and i2000 scanners.

Mr. Oveido stated that for the first time in 30 years the Latin American economies are showing a readiness and tremendous enthusiasm for IT sector solutions and growth.  I see impressive opportunities for back office solutions for document management.  The market is booming, the team is in place and we have high expectations for Latin America across the entire portfolio.

Mr. Jotwani reflects on how impressive the turnaround has been for Kodak as the film business has declined and the markets predicted the worst.  The Kodak team had a strategic vision and plan that has enabled Kodak to grow in the digital IT world with new products, services and technology.  The future is bright for Kodak and I can taste the success in the future.  His closing comment was Kodak is back.

My favorite presentations came later in the day when Garth Neenan showed of the new Photo Department at CVS Pharmacy.  The completely revamped the idea of the photo lab from a carbon copy of the Pharmacy Dept. to a state of the art, warm and friendly place.  They took the audience on a journey through the conceptualization of the new Photo Department to the actual launch of the first store.  This was probably the most interesting and defining moment of the day for me.  It showed some innovation and some real customer touch that made the Kodak technology come alive.

Richard Ford also took the stage to the show how Kodak is positioning itself to capture major market share in the handheld camera and video market.  Lots of great statistics to back up the size and growth opportunity in this market with a heavy focus on the ability to ‘Share’ using various social media platforms.   Richard used Facebook as the biggest example that Trillions of images are being generated.  100,000 photos per second are served up to users, 60M photos added every week with a total of 1.7B user photos and growing.  He highlighted the Kodak Pulse digital picture frame and the PlaySport waterproof digital video camera.

I can’t tell you the number of times I’ve walked into my doctor’s office, my dentist’s office, a community college office and seen rows and rows and rows of file folders filled with information about patients, students, customers, etc.

So let’s take the process at my doctor’s office as an example. I had an appointment not too long ago and my insurance information had changed. The receptionist made a photocopy of my new insurance card and then printed out about half a dozen new pages for me to fill out. Then she input the information into her computer and filed the forms into my folder.

My Grandma Doesn’t Get What I Do…

I know I’m not the only person this has happened to. You have a friend, loved one or even a stranger ask you what you do for a living or what industry you work in. What I’ve found is that being in the Enterprise Content Management (ECM) space sometimes makes it difficult to describe what ECM is exactly (in plain English).

My grandma has asked me at least five times what exactly I do and more specifically, what the industry is about, and the dialogue goes something like this:

Grandma: “So Kristina, what exactly does your company do? I know you’ve told me before, but I can’t really remember.”

Kristina: “We are an enterprise content management solutions provider, an integrator and we have our own line of products called ILINX®. We also have this really cool conference every year called Nexus® with presenters, networking time, a vendor expo, etc.”

At this point, my grandma is just staring at me, blankly.

Grandma: “Um, so what does that mean?”

Kristina: “It basically just means we help people try to automate their business processes by scanning in documents, implementing automated workflows, utilizing capture software, storing information in electronic databases, things like that.”

My grandma’s eyes are beginning to glaze over…

Kristina: “In a nutshell, grandma, we help businesses become more efficient and more paper-conscious.”

After being in this industry for a few years, living and breathing it every day, I can sometimes easily forget that others don’t understand what capture is, how workflows come together, or why you’d ever need to get rid of fax machines and paper. They don’t throw acronyms around like OCR, BPM and ERM, which have become part of my everyday language.

I am glad my grandma isn’t the only person who doesn’t know or understand what ECM is. Check out this awesome video played at Nexus ’10 this year where people were asked to answer the question, What is ECM?

My grandparents just mastered text messaging. I’ll continue to work on a good description of my industry that doesn’t make my grandma ask me the question every time she sees me, “Kristina, what does your company do again?”

Compliance = ROI

Following up on my last post (Invoke Change) and in preparation of my upcoming segment at the annual ImageSource user conference, Nexus, I found some very interesting ROI metrics surrounding compliance enablement. This is thought provoking content when factoring in some of the more intangible reasons to make technology investments in ECM. I have worked with organizations that actually have budget for fines levied through the normal course of a fiscal year. This should tell you that there is REAL savings potential as a result of acknowledging the impact ECM technologies may yield on compliance.

According to PriceWaterhouseCooper, each $1 invested towards compliance saves $5.21 on average! I had the opportunity in the last 12 months to work with an organization that was levied approximately $1 million in fines due to their inability to recover documents tied to the gaming industry in Las Vegas. Ouch! Another interesting find was made by Cohasset Associates. They have found that for every 100 people, annual savings of $240,000 can result from technology investments towards compliance.

As we work aggressively within our organizations to streamline and evolve business processes with ECM technologies, don’t overlook or underestimate the compliance savings that can be realized!

Knowledge is Power

At an increasing rate, I am getting asked the question “Is SharePoint a good fit for our business”?  I shouldn’t single out SharePoint as the question really is “What XYZ product would be best for my ECM needs?”  Before this question can even be considered, the business processes need to be understood.  Inputs, outputs, systems in place, and platform preferences are all very important to consider.  Is there a workflow process to be considered?  Where and when is data keyed into systems?  Is it keyed into multiple systems?

Talk to similar companies / organizations / departments that have gone through the process.  Go on site visits to see how companies are using technology to solve business problems.  Get educated.  Seek out your local AIIM chapter.  Go to relevant conferences that have a large congregation of people who are using solutions for content management.  Seek out systems integrators that have multiple offerings and address full end to end processes.

When information is gathered from the RFP process, it usually results in software manufacturers responding with one thing in mind – license revenue.  You shouldn’t worry about licenses or product until you have determined your end goal, efficiencies, and points of integration.   Also, keep it simple.  Successful projects don’t need to overly complex, long, and expensive – they need to solve a business problem.

I don’t usually go to the doctor and ask for a prescription until the doctor has done a thorough diagnosis.

Why Training is Important

I recently had a conversation with an individual about ECM training.  This person needs to learn how to build a new application for both capture and her ECM system.  When I described the training and associated cost to her, she could not understand why the training is a comprehensive as it is or why the cost is what it is.  Her feeling was that the system must not be “user-friendly”.

What we tend to forget is that a successful implementation of a new application includes much more that creating fields and assigning properties.  It is essential that the entire business process be taken into account.  ECM systems are designed to replace your paper manual paper and other  processes.  Throwing together some fields that hopefully allow you to find your information is not enough.  It is necessary to know your processes inside and out and to  look at other processes that might touch your application as well.

As with everything else, it is the up front planning and effort that make the end result “user-friendly” .
