Do You Know Where Your Records Are? Are They Safe?

Just recently I attended a thought provoking round table discussion involving records management. I, being directly immersed in enterprise content management, have bypassed the times when people stored physical records in an outside storage facility or in cabinets upon filing cabinets solely for records. Oh wait, that still exists!

One topic of discussion was what to do during a disaster. What do you do to save all the paper records when there is a flood or a fire? The various answers ranged from putting them in a trash bag if it involved flooding or putting your records in a freezer if there is a fire. These do seem like practical solutions but I’m not sure how efficient this would be when you are racing against a fire or flood and there are thousands upon thousands of papers that need to be saved for a million dollar corporation.

I do understand the physical storage of paper and it is a practice that has been around forever, but now there are alternative solutions that will not only bring a great return on investment but also you do not have to stress about these “what if” situations. The solution is going paperless with Enterprise Content Management.

Did you know:

  • It costs $20 to file a document
  • It costs $120 to search for a misfiled document
  • 7.5% of all documents get lost and 3% of the remainder get misfiled (Inc. Magazine)

If you implement an Enterprise Content Management system, these systems are designed to capture, manage, store, deliver and preserve structured and unstructured content.
If you are worried about who will have access to these records and documents, ECM is the answer. You can create restrictions so only certain people are allowed to access certain content.
If you are worried about the retention schedule of your records, ECM is the answer. ECM enables automation of records management so after the 5 year retention period comes up you will get a notification to dispose those records.
If you are worried about your files getting ruined from water or fire, ECM is the answer because you no longer  have to worry about maintaining physical copies.
And an ECM system can allow you to access your information from remote locations with multiple people accessing that info at the same time.

The possibilities are endless!

Eagerly Awaiting Nexus 2011

Not your average conference.

Nexus ’11 will be my 3rd Nexus conference.   I had the overwhelming, yet fortunate blessing of starting my first day of work for ImageSource at Nexus 2009.   I have been in sales for 10+ years but at the time I was 100% new to ECM.    Questions running through my head:  1) What is ECM?   2) Who uses ECM?  3) Why doesn’t everyone have ECM?   4) Now what is ECM??

ECM is interesting after you understand the depth of what it can do for your business.   As many of you have heard INFORMATON IS POWER.  ECM is the practice of leveraging information.    It empowers employees within a business to access information that solves problems in the day-to-day ins and outs of running a business.

I am excited to participate once again in this conference.  We have an amazing Key Note Speaker who was incredible last year, so of course we have asked him to return – Dr. James Brown. This year we are staying at the Westin Bellevue which we will all secretly long for after our action and information packed days. Although we are at a new hotel this year, some of you may be concerned that our evening event will no longer be at Lucky Strike… but fear no more! We will take over Lucky Strike Lanes and it will once again prove to be an outstanding place to meet other attendee’s where you can strut your best bowling moves.

If only I were as Popular as the Nexus Conference

I am a newcomer to the world of ImageSource and ECM; having never attended Nexus, I know no more about the conference than what can be transmitted through words.   So, naturally, I’ve been tasked with calling past attendees of Nexus to tell them why they should return this year.

Wait, What?

Over these last 8 weeks at ImageSource I’ve completed a wide variety of tasks.  But, I have to admit, I was quite rattled by this assignment at first.  How was I to tell people about a conference which even I had yet to attend?  I was convinced that my ignorance would have me written off immediately.

I could not have been more wrong.

My background in retail primed me for the hard sell; I was certain that I would have to push the conference relentlessly to drive registrations.  However, to say that my calls have been met with warm reception would be a drastic understatement.  Past attendees have stopped me mid-sentence, reminding me that their previous experience was more than enough to make them want to come back.  One individual stayed silent through my entire pitch, and at the end he confessed that during my rambling, he had registered online and was excited to meet me there.

After a week of calling, I’m fairly certain that all I have to say to get people to register are two words:  ImageSource and Nexus.

My coworkers have been trying to convince me that this event was great for months, and I have had no reservations.  Still, simply hearing the excitement from past attendees has inspired that confidence in me.  When it comes to the value of attending Nexus, I no longer have trouble counting my chickens before they hatch.

Where’s My College Application?

A foreign student has applied to four different schools across the US. She spent two years in a community college where she received her Associate of Arts degree. She applied online at all four schools where she hopes to be accepted into a School of Engineering.

It has been three weeks and she and her family have not yet heard from any of the schools as to the status of the enrollment process.

In the meantime, hundreds, if not thousands, of new applications are being handled by enrollment services. Documents, including letters of recommendation, visas, foreign document permits, health records and transcripts are pouring into these universities. Additionally, there are automated transmissions imported into these schools in an attempt to reduce the workload of already overworked university staff.

Phones are constantly ringing with calls  from concerned applicants and parents. Emails are accumulating and can no longer be answered due to volume and reduced staffing requirements.

At most institutions, this happens to be standard practice during the enrollment time period, and universities are looking at better ways to service their applicants and to help break the bottleneck in the work process.

At AACRAO in Seattle next week, ImageSource will present the answer – a view of how the student services operation will look. A major university on the west coast has accepted the challenge and is determined to change the process through true Enterprise Content Management. It should be made clear that this is not document imaging. This university will continue to use their student information system, but documents entering the university will be processed immediately and will be sent to various workflow queues where they will be pushed through the system. As information is processed, it will be uploaded to the student information system, work packages will be distributed automatically to knowledge workers, and plans are being considered to update information to student portals for self-service.

Don’t Miss This AACRAO Seattle Presentation

ImageSource is really excited about the AACRAO conference being held in Seattle next week. In our booth (booth #106), we will be demonstrating how a student applying for college can go to the University portal and view the progress of their application.

This process will dramatically reduce the number of phone calls and emails that are fielded by an overworked Admissions office. At the booth, you will see the though process behind a new ECM process.

Inside KOM Day 2 – Document Imaging 2011

 “You may have read about Kodak in the news lately. CEO Antonio Perez commented on the Document Imaging division in his recent address to Wall Street Investors highlighting this division’s market growth and solid cash flow generation.” Again Kodak executives focus on the Channel Partner message.  “We need your help to extend new solutions to our customers.”    – Tony Barbeau, General Manager

Mr. Barbeau made sure to be specific about the needs of customers in the document imaging solution space.  This was well received by the partners as enthusiasm spread throughout the room.  Bud Webster and Russell Hunt did a tongue in cheek ‘cheesy’ unveiling of some of the new scanner models being released. Mr. Webster introduced the i5000 will deliver superior productivity with advanced features. This scanner doesn’t slow down when you turn on the advanced features; dynamic flow technology allows the scanner to deliver enhanced image quality and performance. Mr. Hunt introduced the i2600 workgroup and department scanner, this unit delivers the sharpest and clearest document image clarity on the market. The ease of use has been increased with one button scan to SharePoint and an LCD operator panel for the user. When the scanner is not in use the unit swivels upright to provide a near zero footprint this makes the scanner ideal for tight workspaces. Some have said all it needs is a handle for easy portability. Kodak provides a three year worry free warranty term for the Kodak i2000 scanners. This gives customers the peace of mind to purchase a world class scanner that provides 3yr advanced replacement.

Kodak continues to deliver high end microfilm solutions with the i9600 ImageWriter. I know this is still an important function for long-term archival of historical or vital records but it sure seems old school. Nevertheless the Kodak ImageWriter leads the market in performance, durability and feature set.

Russell Hunt went on to comment that, “We remain committed to improve and enhance our process for deal registration to protect opportunities. We are committed to communication about our programs and products. We want you to understand our vision and corporate strategic direction. We will provide you with effective tools to drive business.” “Kodak wants you to be loyal to Kodak, to be a strong ambassador of our products and services. The Channel Partners can help foster open communication and increase sales to help Kodak document imaging group drive growth”.

According to Mr. Hunt no competitor offers what Kodak does in terms of Industry Commitment, End User Knowledge, Technology and the People to help drive customer satisfaction and growth. We are focused on helping you be profitable and successful; in turn this will enable us to drive our growth and goals for revenue targets.

I thought it was cool that that Mr. Gannotti shared Microsoft’s internal nickname for SharePoint, ‘Pac man’. Just like the video game of the 1980’s SharePoint gobbles up other Microsoft technologies and is positioned to be the cornerstone of everything Microsoft does for Web2.0. After Mr. Gannotti’s presentation I asked Mike what he thought the single biggest revenue opportunity was for the Partners in the room. He stated that he thought Workflow consulting was a big area. This is important because Systems Integrators like to consolidate Software Sales, Maintenance Contracts, Professional Services and Hardware to give customers a single point of access.  Personally we have found that the revenue opportunities around SharePoint services are valued at a much lower rate than other project work our company does. There seems to be way more buzz around SharePoint than actual Partner revenue being generated. Eventually Partners have to see the dollars come in before a wholesale shift to focusing on SharePoint solutions occurs. As a Microsoft Gold Partner we are skeptical that the revenue opportunity is significant, we have invested time to generate revenue around SharePoint services and projects without much return.

In Conclusion I must first thank John O’Grady, Tony Barbeau, Russell Hunt, Sophia Marchi, Jeff Shuey and the entire Kodak team for the hospitality they showed me as one of a thousand attendees. I was surprised at the amount of focus on the Latin American Region (LAR) in terms of excitement for growth and revenue generation. I believe the America’s partner community and region has much to offer Kodak in terms of innovation, sales and growth.
