Why price is not the most important factor
when purchasing imaging hardware

When shopping for new imaging hardware, many customers look at their budget and let that dictate their purchase. Now I understand that budget is an important factor, however over the last 9 years working with imaging customers, many have purchased equipment based mainly on price – only to discover that it did not meet their long term growth needs.

So in light of these discussions, here is bits of wisdom that can be used as a checklist when considering new purchases:

  • Color or Black & White (B & W) scanning? The majority of scanners automatically come with color option but can also provide B & W scanning for smaller document size files.
  • Is Speed important – scanners are classed by Pages per Minute (PPM). How fast do you need the scanner to scan?
  • How much volume are you expecting to scan per day, week or month? Volume and speed is determined by the manufacturer when they develop the scanner.
  • Manufacturers group their scanners into categories based on PPM and the Daily Duty Cycle (DDC). DDC is how many images the scanner can handle on a daily basis. So if you have a large volume of scanning to be completed on a daily basis, a small desktop workgroup scanner will not be sufficient for the volume – it would break down all the time. 11 Questions to Ask in Order to Buy the Correct Wide Format Scanner

At ImageSource, we have many customers who call in asking for information on Wide Format Scanners. Selecting the right Wide Format Scanner for your needs is imperative, as manufacturers do not normally provide evaluation scanners for you to test.

I always recommend that customers review a software webinar demo before buying these larger scanners. The software functionality and ease of use is an important differentiator between scanner manufacturers. The incorrect software combined with a scanner that does not meet all your needs can be a costly investment that cannot be returned to the manufacturer. In this category of scanner, the cheapest price tag does not necessarily mean the best fit!

There are some basic questions that we always ask our customers in order to qualify what scanner(s) is the most appropriate. I would like to share these to help you with any future selection processes/decisions.

  1. Do you need B&W, Grayscale, Color capabilities?
  2. If Color is required, is it Color critical (such as photos and art work), or simple color (such asline drawings or printed maps)?
  3. What is the largest size original you will be scanning?
  4. Is speed important? Will this be production scanning or just occasional scanning?
  5. Approximately how many scans per month?
  6. What condition are your originals in? Poor (folded with a lot of background), Medium or Good quality?
  7. What kinds of media will you be scanning? Paper, blueprints, Mylar, stitched linen (very old documents), maps, etc.
  8. Do you need thick document scanning capabilities?
  9. Do you need a stand and catch basket?
  10. Will this be a scan-to-file application or do you need scan-to-print (copy) functions as well?
  11. Will you need to edit, modify or convert any of the images into CAD or GIS file formats?

Mission critical scanner with no maintenance. Really??

I have been reselling scanners and scanner maintenance for 14+ years now. I have helped clients pick their original equipment, maintain it and replace it, and some of my customers are on their third or fourth cycle with me. I am shocked every time I come across an account that doesn’t understand the value of a maintenance contract.

When you have a maintenance contract you have a fixed cost for the year. You don’t have to worry about coming up with the budget to unexpectedly replace or repair your equipment.

Nobody wants to have the uncomfortable conversation with their boss. The one where you admit that your equipment is not covered and you don’t know when production will resume. And as far as repair costs are concerned, all you know is it won’t be cheap.

Remember when you bought your scanner? It was a major decision; you reviewed spec sheets and made comparisons and talked to anyone you could to get a glimpse into your future. Finally, you made the best decision you could. And now that it’s yours, you don’t want to maintain it. Really??

Think about how long it can take to make a purchase. Imagine how if the unexpected happens you may not have the luxury of time. You may not even have access to the correct people who sign off on it. Perhaps the final decision is yours. Do you really want to have to make this decision on the fly? While production is at a standstill?

This equipment was mission critical at the time of purchase and now you have learned to rely on it. But since its’ purchase, there are hotter topics and projects that you focus your budget on. The takeaway? Don’t forget about your scanner and give it the respect and attention it deserves. Take care of your equipment so it can take care of you!

Where did Virtual Rescan Technology go?

I have personally been selling PC’s, PC Peripherals and scanners since 1995. When I came to ImageSource in June of 2000, I had to learn the document scanner side of things. ImageSource was definitely an early adopter of the VRS (Virtual Rescan) Technology. This insight was driven by being close partners with Fujitsu and Kofax. In the beginning, you had to have extra hardware components in the scanner and host PC to make the equation functional. The installations were clumsy at times, but it really was the best way to get the best quality image from your scanner.

FUJITSU fi-7160 ScannerThe new Fujitsu Scanners consisting of the fi-7160, fi-7180, fi-7260 and fi7280 combine new features such as “Acoustic Paper Protection and Skew Prevention” technology with faster speeds. The fi-7180 and fi-7280, which includes a flatbed have speeds of 80 pages per minute and 160 images per minute while the fi-7160 and fi-7260, also includes flatbed, have speeds of 60ppm and 120ipm.

I ♥ Fujitsu FI-6130

It has been a while since I have done a blog regarding hardware, so rather than randomly selecting a scanner and making it sound interesting, I am choosing to focus on the Fujitsu fi-6130 series scanner. This is an affordable desktop unit of which I have personally sold over 7oo units in the last few years, with no complaints, returns, or issues. It’s a solid reliable unit and as long as you have reasonable expectations for a non-production scanner, you will be pleased with this device. Whenever I hear the word “breed” in any context, my mind automatically goes to dog breed for some reason. I can’t help it, but my mind starts to wander and think of Miniature Pinschers and Bloodhounds. At my company, we tend to use the term “best-of-breed” to describe the types of systems and solutions that we implement for our Customer Partners. I have discovered great benefits that Interactive Whiteboards offers in day-to-day activities that many of our private, government and education customers are utilizing. I discovered some interesting “out of the box” applications of interactive whiteboards:

Remote Conferencing – for Board meetings, company staff meetings and training (using the remote conferencing system)

  • Education – the Panasonic Interactive Panaboards can be purchased with RM Easiteach software. The Panaboard’s information can be saved and distributed to students via flash drive or email. It is a great collaborative teaching tool.
  • Education –  a School district that did not have the funding or infrastructure to put multiple computers in every classroom  – they now use the Panasonic Interactive Panaboard in 700 classrooms to provide Web and Multi-media learning applications and interactive activities involving the web and built-in stereo speakers.
  • Healthcare – a hospital that uses the Panasonic Interactive Panaboard as an operating room scheduling tool. Also utilizes the Panaboard in waiting rooms to help entertain adults and children for hours while they wait.
  • Utilities – a Utility company that uses the Panasonic Interactive Panaboard as a tool for monitoring different functions such as water and power.
  • Firefighting – Fire Station that uses the Panasonic Interactive Panaboard for training and as an interactive tool for Google Maps – they use the touch capabilities to zoom into a specific location of a fire to discuss different ways to access to location etc.

Conversion of Documents at California County Assessor’s Office Creates Paperless Office

ImageSource was the privately contracted vendor for a California County Assessor’s Office that embarked upon a major project designed to create a paperless work environment. The project processed and imaged 25 million pages of file documents. Documents were scanned at the rate of 125 images per minute, 8 hours a day. The County also implemented day-forward imaging rather than filing incoming paper documents. The entire project was completed in approximately one year.

Why Imprint Documents?

This is a question we ask our customers when choosing scanning hardware for their Enterprise Content Management solutions.  It is easily overlooked when reviewing the specifications of a scanner, as it is a separate hardware purchase and generally is a business process requirement not a scanner specification requirement.

When there is a need to “imprint” or “stamp” a scanned document, it is required to have the date of the scan on each and every page that is processed. This requirement usually is used for tracking purposes or compliance to show that the document was scanned.

Do you Pre or Post-Scan Imprint?
Pre-Scan imprinting is the most common option that allows the organization to have the stamp on both the physical paper copy and the scan. The pre-scan imprint will print on the document PRIOR to the image reaching the scanners imaging lamps.  So the imprint stamp will also be a part of the scan image.

Post-Scan imprinting is generally utilized when an organization needs the data or tracking mechanism on the physical paper after the scan. This is mostly used to indicate if a page of paper has been processed or not.  The stamp is NOT on the scanned image.

Can I automatically imprint on a flatbed scanned documents?
Keep in mind when purchasing a scanner with a flatbed – either integrated with the scanner or as a detachable USB connected flatbed – there is no automatic imprinting option for the documents scanned using a flatbed.  Flatbed scanned documents will need to be manually stamped to meet requirements – either pre-scan or post-scan.

Another option for imprinting is “Software Annotation”…
If only a data or tracking on the scanned image is needed, software annotation could be considered.  With software annotation you have greater flexibility on where the imprint data can be placed on the image. Keep in mind software annotation needs to be part of your batch scanning process and is a separate software purchase to your hardware scanner.

So keep this information in mind when considering what is the “best fit” for imprinting based on your business process AND scanner requirements.

4G and Content Management

With the advent of LTE, HSPA+, and Wi-MAX (collectively referred to as 4G) information can be transferred at speeds never before thought possible. 4G for most of us is old news. However, it occurred to me that organizations rarely consider how this efficiency can actually be utilized. Most of my peers/colleagues utilize one form of a cloud drop box or another.  These tools are great for one or two Power Point presentations and maybe a couple case studies. I remember the first time I turned on my iPad/Mobile HotSpot and opened cloud app. ABC, it was information at my fingertips when and where ever I wanted it—I felt a sense of freedom. As time passed I added more and more “IMPORTANT” content to my personal cloud. Certainly you can all guess what happened next. The pile of paper in my cloud was 10x the size of the stack of paper on my desk at work. 4G connectivity, the cloud and “IMPORTANT” information is a great tool. If you add one more piece to the puzzle (enterprise content management) it can be invaluable to your organization.

For a moment try to imagine where organized, “MOBILE” and secure content could add value to your organization. Content that is safely tucked away behind your firewall yet still available to the appropriate men and women in the trenches. The applications begin to seem endless. As you know almost any type of files can be managed inside an ECM solution.

In one scenario a construction manager is remodeling the third floor in a local university building. It becomes immediately apparent that the plumbing was modified at some point to accommodate for an additional bathroom. The CM only has the original blue prints in his/her possession. What he/she needs are the updated “As-Is” drawings. These documents have of course been printed, folded and filed away back at HQ. It is obvious now that dollars are about to be spent on the recovery of these drawings. The only question that remains now is; how many dollars could be saved?

Decision makers and labor workers alike can all benefit from the innovation of fast mobile internet. However, the content being sought after or delivered must be organized and secure. I challenge anyone who reads this post to add a comment below: How can high speed mobile internet and content management be effectively combined to reduce cost or increase an organization’s bottom line?

Stuck in a Trade Show Whirlwind

This year’s Fall trade show season seemed to blow in and out like a tornado. It is no joke that time flies when you are having fun. We’ve seemed to go from September to December in a blink of a eye. Our whirlwind of a tour started  back when the leaves were just starting to change with multiple local PMI and AIIM events and only picked up speed from there….

For a week we blew into OracleOpen World in San Francisco, CA . If you’ve never attended Oracle OpenWorld, be ready for quite a technology experience. As an Oracle Platinum Partner there is no way we would have missed it!  As a systems integrator for Oracle Middleware, we were eager to help attendees learn how to run more efficient business processes by implementing Oracle IPM and UCM solutions.  There was a lot of interest in our recent implementations of Oracle Webcenter Content 11g. We look forward to going back in 2012 and hope to see you there.

While many of us were at OOW, our ECM expert, John Smetana was attending the AIIM ECM Bootcamp in Minneapolis, MN on October 4.  AIIM members and attendees collaborated on ways to minimize paper and manual processes in core backend activities and discussed better ways to engage social technologies to reach customers.

Next stop landed us in Vegas, Baby! We were a proud exhibitor of the IBM Information on Demand Conference that happens annually at the Mandalay Bay. And we are hoping what you saw there, doesn’t stay there. Take back what you learned from our IBM ECM team to get started on automating processes or to expand your current solution, enterprise-wide. We can wait to get back to IOD in 2012

Next up, we couldn’t have been more excited or proud to host Nexus ’11, our annual ECM Solutions Conference on November 3-4.  With over 28 breakout sessions, world-class Keynote speakers and peer-to-peer networking, this event has become the best education ECM technolgoy event on the West Coast!  Pre-conference training for AIIM certifications and other continuing education credit were provided in the days leading to the conference. Our vendor partners, including Fujitsu, Panasonic, IBM, Kodak and other industry leaders were on hand to show their latest product offerings and answer questions in our Expo Hall. This year’s hot topics included planning your ECMECOSYSTEM™,  Capture solutions from ILINX and Kofax, and implementing mobile and social technologies. And finally, we wrapped up our tour in Sacramento, CA at the Kofax Connect event where we presented with our customer partner, Sacramento County, to share how their are utilizing Kofax KTM to clasify, separate, extract and transform documents.  We were excited to be a part of this valuable event and have the chance to discuss capture solutions with the many Kofax users who attended. If they hold this complimentary seminar again in the Spring you won’t want to miss it.

Yes, You Need Maintenance on Your Scanner

As budgets get tighter it’s inevitable that the need for hardware maintenance will come into question. It’s like insurance in your own personal life; nobody likes to pay for it but you definitely dont want to get caught without it.

If your equipment is mission critical, you need to keep it covered under a service contract.
If you don’t have the budget to replace it immediately, you need a service contract.
If you are unsure what model it would  be replaced by or where or how to get it you should definately maintain your service contract.

There does come a point in time when it is more practical to put those renewal dollars towards a replacement.  If you’re working with a good company such as ImageSource we will let you know at renewal time that you should be planning for your replacement either this year or the year after. We can help you select a model and also review compatibility.

Upgrades can be tricked and can trigger software upgrades at the sametime, these are best planned for rather than inadvertenly discovered.

The Power of Partnerships

Working with other companies and their staff to deliver a product and service to a customer can be an enlightening experience.  I have recently been working with 4 of the top leading scanner manufacturer partners to assist a healthcare customer with their distributed capture initiative-with the evaluation and the purchase of 160 desktop scanners for capturing patient intake information.

The customer evaluated the 4 manufacturers’ desktop scanners. A number of factors influenced the healthcare customer on their decision to work with ImageSource and to purchase the following scanner evaluated:

  • The ease of use of the scanner equipment and software
  • Availability of the manufacturer’s sales person and sales engineer to be on-site to install the scanner, the numerous conference calls to answer questions that unfolded due to the testing of the scanner and every question was treated with utmost importance.
  • The attention to detail by both ImageSource and manufacturer to modify the demonstration of  the scanner and that the scanner software solved a number of their various documentation challenges (for example – the patient intake documentation varies is size, thickness and also includes plastic cards)
  • The high level of thorough communication between ImageSource and manufacturer (In the customer’s eyes it seemed they were working with one company, not two!)

The greatest learning experience and also the most important factor that made this a stress-free process was the level of trust that was initiated, grown and experienced by all parties involved;

  • From the customer perspective: Working with two teams from different companies- it did not matter who they called (whether it be ImageSource or the manufacturer), they received the same high level of service from both companies. Both companies kept each other informed of the conversations etc. they had with the healthcare customer, therefore alleviating any miscommunications or misunderstandings.
  • From the Reseller vendor (ImageSource) perspective: The high level of communication and interaction with the manufacturer’s sales team created a streamlined cohesive focus to ensure the customer received what they REALLY required from a scanner.
  • From the Manufacturer perspective: Being able to rely on a vendor partner that has the knowledge, expertise in Enterprise Content Management (ECM) and initiative to go the extra step – to focus on how to solve the customer’s challenges, not just sell a scanner. What value does Virtual ReScan Software (VRS) provide with my scanner?

When purchasing a scanner for document imaging, software is bundled with the scanner that automatically examines documents and applies the correct settings to deliver high quality scanned images. Or in simple terms – it enables image clean-up and clarity to occur automatically at the point of scanning the document.  This software SAVES a great deal of TIME and is EASY to use…This little piece of magical software is called Virtual ReScan or VRS.

Many scanner manufacturers include the Kofax VRS software in the scanner purchase price. Fujitsu includes Kofax VRS Professional software with their scanners and Panasonic includes the latest version of Kofax VRS called Kofax VRS Elite bundled with their scanners.  Other manufacturers do offer the software at an additional cost (Canon, Kodak etc.).

Inside KOM Day 2 – Document Imaging 2011

 “You may have read about Kodak in the news lately. CEO Antonio Perez commented on the Document Imaging division in his recent address to Wall Street Investors highlighting this division’s market growth and solid cash flow generation.” Again Kodak executives focus on the Channel Partner message.  “We need your help to extend new solutions to our customers.”    – Tony Barbeau, General Manager

Mr. Barbeau made sure to be specific about the needs of customers in the document imaging solution space.  This was well received by the partners as enthusiasm spread throughout the room.  Bud Webster and Russell Hunt did a tongue in cheek ‘cheesy’ unveiling of some of the new scanner models being released. Mr. Webster introduced the i5000 will deliver superior productivity with advanced features. This scanner doesn’t slow down when you turn on the advanced features; dynamic flow technology allows the scanner to deliver enhanced image quality and performance. Mr. Hunt introduced the i2600 workgroup and department scanner, this unit delivers the sharpest and clearest document image clarity on the market. The ease of use has been increased with one button scan to SharePoint and an LCD operator panel for the user. When the scanner is not in use the unit swivels upright to provide a near zero footprint this makes the scanner ideal for tight workspaces. Some have said all it needs is a handle for easy portability. Kodak provides a three year worry free warranty term for the Kodak i2000 scanners. This gives customers the peace of mind to purchase a world class scanner that provides 3yr advanced replacement.

Kodak continues to deliver high end microfilm solutions with the i9600 ImageWriter. I know this is still an important function for long-term archival of historical or vital records but it sure seems old school. Nevertheless the Kodak ImageWriter leads the market in performance, durability and feature set.

I thought it was cool that that Mr. Gannotti shared Microsoft’s internal nickname for SharePoint, ‘Pac man’. Just like the video game of the 1980’s SharePoint gobbles up other Microsoft technologies and is positioned to be the cornerstone of everything Microsoft does for Web2.0. After Mr. Gannotti’s presentation I asked Mike what he thought the single biggest revenue opportunity was for the Partners in the room. He stated that he thought Workflow consulting was a big area. This is important because Systems Integrators like to consolidate Software Sales, Maintenance Contracts, Professional Services and Hardware to give customers a single point of access.  Personally we have found that the revenue opportunities around SharePoint services are valued at a much lower rate than other project work our company does. There seems to be way more buzz around SharePoint than actual Partner revenue being generated. Eventually Partners have to see the dollars come in before a wholesale shift to focusing on SharePoint solutions occurs. As a Microsoft Gold Partner we are skeptical that the revenue opportunity is significant, we have invested time to generate revenue around SharePoint services and projects without much return.

In Conclusion I must first thank John O’Grady, Tony Barbeau, Russell Hunt, Sophia Marchi, Jeff Shuey and the entire Kodak team for the hospitality they showed me as one of a thousand attendees. I was surprised at the amount of focus on the Latin American Region (LAR) in terms of excitement for growth and revenue generation. I believe the America’s partner community and region has much to offer Kodak in terms of innovation, sales and growth. In order to get everyone in the room engaged Mr. O’Grady led everyone in the audience in a rousing sports inspired ‘Wave’ back and forth across the ballroom.

As the panel gets warmed up Mr. Palmer asks “What is the biggest opportunity for unleashing Kodak’s potential?”    The panel took turns and offering perspectives from each executives view.  I took away a paraphrased message that focused on Kodak’s broad portfolio. “We have the broadest portfolio of anyone in the industry” By working together we can grow each one of the components in that portfolio.  Key to the message was a focus on turning every customer interaction into an opportunity to position the other areas of the Kodak portfolio.

Mr. Palmer asked Mr. Jotwani, “How is Kodak capitalizing on the Social Media opportunities with photo sharing?”  Kodak is focused on personal imaging, people are “Preserving memories, while living in the moment” and this has created an explosion in the sharing of images/photos.  We are pleased that we have a greater focus on video and market share is growing, “we are now the clear number two behind flip in terms of consumer video products.”

Also discussed was the personal greeting card business using Kodak Kiosks in retail stores like CVS Pharmacy that give consumers the choice to make a greeting card from my FaceBook photos, printed on greeting card stock and creased like a standard greeting card.

One of the largest profit opportunities in the IT sector is consumable components, Ink business is doubling.  We have launched a fundamental new program with a brand new inkjet engine.  Kodak has told Wall Street they will grow 50% in the US with consumable inkjet products.

Kodak Services for Business, Mr. Oveido spent a few minutes describing this opportunity.  We are moving from products to solutions in the imaging business.  Data Management, Facilities Management, Print Services.  Kodak is different because we are willing to partner, we are late to the game but we are the only one that really, really wants to partner.

We have a significant number of attendees from the document imaging partner community.  The document imaging business is a great business with lots of growth potential.  Retail is a huge opportunity for the new i5000 and i2000 scanners.

Mr. Oveido stated that for the first time in 30 years the Latin American economies are showing a readiness and tremendous enthusiasm for IT sector solutions and growth.  I see impressive opportunities for back office solutions for document management.  The market is booming, the team is in place and we have high expectations for Latin America across the entire portfolio.

Mr. Jotwani reflects on how impressive the turnaround has been for Kodak as the film business has declined and the markets predicted the worst.  The Kodak team had a strategic vision and plan that has enabled Kodak to grow in the digital IT world with new products, services and technology.  The future is bright for Kodak and I can taste the success in the future.  His closing comment was Kodak is back.

My favorite presentations came later in the day when Garth Neenan showed of the new Photo Department at CVS Pharmacy.  The completely revamped the idea of the photo lab from a carbon copy of the Pharmacy Dept. to a state of the art, warm and friendly place.  They took the audience on a journey through the conceptualization of the new Photo Department to the actual launch of the first store.  This was probably the most interesting and defining moment of the day for me.  It showed some innovation and some real customer touch that made the Kodak technology come alive.

Richard Ford also took the stage to the show how Kodak is positioning itself to capture major market share in the handheld camera and video market.  Lots of great statistics to back up the size and growth opportunity in this market with a heavy focus on the ability to ‘Share’ using various social media platforms.   Richard used Facebook as the biggest example that Trillions of images are being generated.  100,000 photos per second are served up to users, 60M photos added every week with a total of 1.7B user photos and growing.  He highlighted the Kodak Pulse digital picture frame and the PlaySport waterproof digital video camera.

Eating Our Own (Yummy) Dog Food

Every day at ImageSource I use the technology that we help implement at other organizations. It helps remind me why our Customer Partners get pretty excited about information processes that get transformed through ECM technology. Instead of printing, shuffling paper, waiting, shuffling some more, waiting, chasing down the paper, copying, shuffling and filing, we can complete a process efficiently, accurately and have a digital record.

It’s time to submit my expense report, so I’ll use that for an example.

I gather a few paper receipts, and scan them on my Fujitsu Scansnap desktop scanner using ILINX Capture software. Using a desktop browser, ILINX Capture allows me to add indexing to this batch of documents, so I can easily search for them.

My other receipts are already PDF images that I captured using the camera functionality on my iPhone and a handy app called ILINX Capture Mobile. It lets me turn my paper receipts to digital images on the fly, and attach keywords to them. (This is especially convenient when traveling.)

I merge my PDFs into one document using Adobe Acrobat, and go to our intranet site for where I find a LiquidOffice eForm designed for ImageSource expense reports. Utilizing pull-downs, pop-up calendars and automatic calculators, I quickly enter essential data about each receipt, attach my PDF with receipt images and hit submit. After the package is automatically routed to my supervisor for approval, ILINX Connect for eForms seamlessly transports it to Oracle Image & Process Management system.

Our Accounting staff views the documents right from within their accounting software system using ILINX Integrate, without having to go into IPM. Should my expense report documents ever need to, they could be sent through an IPM workflow or packaged and migrated out using ILINX Export.

It is liberating to work in an automated environment. Instead of shuffling paper, my time is free to do things that actually require my expertise, of which report submittal is not one.

Selecting an Enterprise Content Management Solution

DEFINE THE BUSINESS GOALS

Your ECM initiative must begin with the identification of clearly defined measurable goals. These goals must emerge from cross‐functional planning groups. Too many efforts begin with a list of requirements for the ECM Solution, but these requirements cannot be defined accurately at such an early stage. The goals themselves will typically number between five and 10, and require agreement from all business units before you begin
constructing shortlists of vendors. This will help you avoid lengthier discussions at an inappropriate stage of the ECM effort. The goals should be strategic in nature, reflecting your objectives over two or three years. The overall business goals should succinctly and quantitatively summarize the essence of the required ECM solution, and they should be linked to the overall strategy of your organization. They should also be clearly phrased so that the benefits are clearly understood and actively supported by the executive sponsors and stakeholders. These objectives will form the basis for all requirements of the ECM project and will be the tool that allows irrelevant features to be quickly identified. The benefits of this approach include:

  • Faster short listing of suitable vendors.
  • Reduced expenditure in the selection phase.
  • Increased clarity about the solution components necessary for the appropriate solution.
  • Greater project transparency and more support from high‐level sponsors as a result.
  • Easier building of business case for the initiative.
  • Accurate listing of requirements.

APPLY AN ECM MATURITY MODEL

The adoption of maturity models is inhibited by the perception that they are abstract and theoretical, with little connection to the real world. Yet the appropriate maturity model can provide the basis for practical decisions, cost savings and the mitigation of many risks. A maturity model is a tabular representation of solution areas such as Capture, Workflow, Search and Retrieval, Web Content, or Records Management, together with a rating of how “mature” or developed that solution area can be. A simple thick client capture technology would have a low rating, while a sophisticated, thin client capture technology would score higher. The model can therefore be used to assess the level of maturity a future ECM Solution should have. It also assists in the articulation of a strategic vision and permits insight into the complexities of reaching that vision. A complete and realistic evaluation of all aspects of your current environment is necessary to assess the maturity level of your current system. Without this initial assessment you will be unable to determine what future levels of maturity are achievable, or how much effort is required to exact the corresponding changes. Such analyses also help to simplify buying decisions, and clarify whether the products on which your existing solution is based require upgrading or replacement. Benefits from applying maturity model analysis include:

  • The creation of a succinct, easily communicable summary of status of the ECM Solution to executive sponsorship and stakeholders.
  • The difficulty and cost of moving an ECM Solution to the desired level can easily be underestimated. A maturity model helps expose these difficulties and costs, and provides valuable input to the design of another indispensable tool — the road map.

BUILD A ROAD MAP TO PROMOTE LONG-TERM SUCCESS

A road map is a high‐level representation of the planned changes against the chosen timeline for those changes. Road maps are commonly represented as Gant charts, with the overall effort typically divided into overlapping phases. Each phase represents the changes required to raise the maturity of the ECM Solution to a higher level on the maturity model. The complexity of the required change will determine whether multiple steps for a particular solution area are taken in any one phase. (A phase typically ranges from three to six months.) This approach helps mitigate the risks associated with lengthier endeavors, such as attrition of key staff and budget reallocation away from the project.

Use a road map‐based approach to:

  • Ensure that the order in which you deploy the ECM Solution components matches the priorities of your overall business strategy.
  • Help organization leaders avoid deploying short-sighted point solutions and silos. Easy win can be considered, but not at the expense of higher‐order goals.
  • Permit a more thorough assessment of vendors and filter out those that can’t support your vision of your solution.
  • Allow a careful assessment of how long it will take for your ECM Solution to provide business value.

IDENTIFY AND FOLLOW THE RELEVANT INDUSTRY BEST PRACTICES

Choose a Solution‐Deployment Methodology: ECM programs which diligently apply a project management office (PMO) and solution‐deployment methodology have a significantly higher chance of succeeding. The methodology will provide focus, optimize time to value and help reduce potential risks. Discuss the most appropriate methodology with your vendor. The methodology that your organization primarily endorses may
not provide the full benefits. An intelligent mix of your existing practices and those extolled by the vendor for its products is usually optimal. Choose the Right Team: The right mix of staff will ensure that the right strategy and designs are established, that costs for core‐development phases are reduced and that on‐the‐job training for in‐house staff is provided. Apply a Form of Requirements Tracing: Requirements tracing is a method by which the requirements of the individual phases are aligned with the goals identified and selected for that phase. This provides focus and helps ensure the exclusion of costly and unnecessary features. It can also prevent, or reduce, scope creep. Collaborate With Your Vendor: Involve your main vendor in the selection of the appropriate products and the design of the ECM solution architecture. Some of these changes are likely to involve third‐party products and will require a firm statement of compatibility from your main vendor.

SELECTING A SYSTEMS INTEGRATOR

When implementing an ECM Solution you should set your sights on a full‐service Enterprise Content Management integrator that provides infrastructure and services that streamline information processes. The vendor should help your organization leverage your information assets through document imaging, distributed capture, workflow and integration with existing business software systems. A true ECM vendor will have a comprehensive approach, including analysis, training and support; will advance efficiencies, security, compliance and competition through your entire organization. Teaming with Experience: Your organization should work with a vendor that can bring several years of ECM experience to the table. This results in well‐defined, long‐term goals that are enlightened and effective. Let the Problem Drive the Solution: Work with a Vendor that does not come to you with a specific idea of what product you need, but instead concentrate on specifically defining business challenges that you face. This process leads to business solutions that integrate with your standing technology investment and result in real returns for your organization. The vendor’s services should provide an independent and objective approach. Many vendors use a one size fits all philosophy. Find a vendor that is flexible and has proven methodologies to help you define a truly suitable solution. Best Practices: In each industry there are recognized best practices and leading tools that are used by organizations based on their size and demographics. Seek a vendor that has a breadth of experience to draw upon, so that you can leverage their best practices and apply them.

PITFALLS TO AVOID IN ECM PROJECTS

  • Primary causes of excessive deliberation and consequent budget overruns in ECM projects include:
  • Disagreements while building a business case for the required investment.
  • Poor selection criteria leading to difficulties in selecting a vendor.
  • Difficulties in recognizing products to match the solution components.
  • Business users rushing to install ECM products to gain short‐term benefits.
  • Underestimation of the importance of change management.
  • Inconsistencies between the requirements cited and those which govern the deployed solution.

The InfiniVault attaches to any storage network and includes three integrated components:  network disk, a data preservation operating system and removable RDX disks.  As a whole, the system combines all tiers of storage into one and then manages the preservation and retention of the data for the desired length of time and to any compliance or legal requirement.

The RDX Disks that ProStor incorporates into its system are pretty unique.  RDX Disks are removable and help make this storage system extremely scalable.  Need more storage?  Add more disks.  Other advantages of the RDX drives include infinite capacity (add more cartridges), they have a 30-year archive life (validated by Percept, Inc.), both the drives and media are backward and forward compatible, and the industry-standard RDX cartridges are available from multiple manufacturers.

In terms of choices for the InfiniVault, it is very simple.  There are only three products in the product line – the Model 3, the Model 30, and the Model 100 with online removable disk capacity ranging from 1.5 TB all the way up to 50 TB.  (This is based on 500GB native capacity RDX cartridges with 2:1 compression.)

The ProStor InfiniVault is a system that is easy to install and simple to use.  Installation can take as little as 30 minutes and is addressed as simple NAS storage coupled with a “set it and walk away” user interface.  The rest is handled automatically.

Shedding a little more light on the new Fujitsu fi-6800

I have blogged before about the Fujitsu fi-6800’s reduced footprint, the LED technology that it uses, and the many environmental friendly qualities it has, but there are other features that must be pointed out.  As you can imagine, when a company so well respected and influential in the ECM world as Fujitsu releases a new product, a lot of thought and engineering goes into it beyond just making it faster.  The fi-6800 is packed with features that enhance productivity that was based directly on customer feedback.

I saw a recent live demo of this model and it is impressive.  It’s look, size, footprint.  How quiet it is.  It also became evident, that this scanner is also easier to use than the fi-5900C, the previous mid-volume production heavyweight manufactured by Fujitsu.  This scanner weighs a mere 70 pounds compared to 100+ pounds of other scanners and its compact size makes it physically the smallest in its class.  This scanner was designed with this in mind:  bring production scanning from out back to up front without obviously disturbing the front of office business environment.

This scanner was also designed with batch scanning efficiency in mind.  For example, it can be equipped with a pre or post scanning imprinter depending on the need, and features an active stacker which controls paper speed as it exits the scanner to keep documents orderly and neat.  The front operator panel has a document counter and a batch counter too.  It is intelligently designed featuring an intuitive LCD operator panel which can be programmed in seven different languages.

Speaking of intuitive technology, the scanner offers Intelligent Multi-Feed Function (iMFF) and Automatic Image Quality Checker (aIQC).  According to Fujitsu, “iMFF allows for instant detection of a multi-feed or multilayer document, such as taped-on receipts or sticky notes added to a document. This function transports the document that has caused the alert to the exit path of the scanner, and presents both the physical document as well as the scanned front and back side images to the user so they can decide whether rescanning is required.”  The Automatic Image Quality Checker allows for document batches to be processed without interruption because it marks images virtually with potential missing data (for example folded corners) and others that might indicate multi-feed incidences.  This allows the user to check through the earmarked images and either re-scan or validate without interrupting the image order.

Lastly, the scanner comes equipped with an impressive full suite of bundled software including Adobe Acrobat 9 Standard, Kofax VRS 4.5 Professional with enhanced barcode recognition, ScandAll PRO with Scan to Microsoft Sharepoint, and QuickScan Pro Demo.  The fi-6800 fits well into any Document Management and Enterprise Content Management solution.

Once again, Fujitsu steps out into the limelight and into the front of the pack with production level document scanning for the world.
